Privacy Policy

Who we are

Spaceship Earth is a charitable incorporated organisation registered in England and Wales, charity number 1164631. We are the controller of personal information used for our charity's website, enquiries, supporter relationships and projects.

For privacy questions or requests, use our contact form.

You can also write to Spaceship Earth at our registered address: 530 Oxford Road, Reading, Berkshire, RG30 1EG, United Kingdom.

Information you give us

Our contact form collects your email address and message, and any name you choose to provide. We use these details to answer enquiries about our projects, collaboration and support. An email address and message are needed for us to reply; please include only information relevant to your enquiry and do not send payment card details or unnecessary sensitive information.

Our current website donation form supports Project Empathy, not our critical-thinking games. If you donate, we receive the donor and transaction information needed to administer and acknowledge your gift. This can include your name, contact details, amount, date, payment status, recurring donation choice and any message you provide. A Gift Aid declaration also requires the details requested at checkout, including your home address and confirmation of eligibility.

Donations are handled through Donorbox and the payment provider shown in its checkout. Payment details are entered into those providers' systems, rather than our contact form. If you choose to display your name or a comment on a public donor wall, that information can be seen by other people. Please check your visibility choices before submitting.

Why we use information

We rely on our legitimate interests in running the charity to respond to enquiries, manage collaborations, administer donations, maintain appropriate records and protect our services. These interests are balanced against your rights and reasonable expectations.

We rely on legal obligations where records or disclosures are required for charity accounts, tax, Gift Aid or other applicable law. Where we enter an agreement with you, we may also process information needed to perform that agreement or take steps you request before entering it.

Where we ask for consent, such as for optional publicity or non-essential cookies, we use the information for the purpose described when we ask. Sending an enquiry or making a donation does not automatically sign you up to a marketing mailing list.

Critical thinking project updates

If you choose to receive updates about our bias trainer and future island game, we collect your email address, your project preference and a record of your consent. We use these details to send occasional progress news, testing opportunities and launch information about these critical thinking projects, based on your consent. We ask you to confirm your email address before receiving updates.

Wix stores the signup and contact records for us. We group these contacts by their chosen project so this signup does not automatically enrol you in unrelated charity marketing. You can unsubscribe using the link in an update or contact us using the details above. We keep the mailing preference while you remain subscribed and the project updates continue. We may retain a limited record of consent and withdrawal where needed to demonstrate your choice and prevent unwanted emails.

Testimonials, stories and historical material

Our website includes named testimonials, professional roles, quotations and historical material connected with Project Empathy. Information may come from the contributor, a project partner, an archive or a credited public source. We use this material to explain and document our educational work, with an appropriate lawful basis such as consent or our legitimate interests in presenting that work.

Where information about a living person reveals sensitive matters, such as religious beliefs, an additional legal condition is required. This may be explicit consent or information the person has manifestly made public; a legitimate interest alone is not sufficient. Please contact us about an attribution, privacy concern or request to remove your contribution.

Website, video and cookie data

Wix hosts this website and provides our forms, email update tools, blog and site media. When you visit, technical information such as your IP address, browser, device, requested pages and security logs may be processed to deliver the site, keep it secure and diagnose problems.

Embedded services, including YouTube videos and the Donorbox donation form, can receive technical information when they load or you interact with them. They may use cookies or similar storage under their own policies. A content warning or a blurred clip is a viewing choice, not a cookie-consent or age-verification system.

Necessary storage supports functions such as security and your requested services. Non-essential storage is subject to consent where the law requires it. You can manage cookies through any cookie-preference controls offered on the site and through your browser; blocking some storage may affect forms, video or donations. See Wix's Privacy Policy, Google's Privacy Policy for YouTube, and Donorbox's Privacy Policy for their processing.

The game prototype

Thinky is our free early beta and one-bias proof of concept. It opens on a separate website hosted by Wix. The game does not ask you to create an account. Its current code saves progress and settings locally in your browser and does not send your answers or scores to the charity. Clearing that site's storage or using private browsing may remove progress.

Local game saves are separate from hosting data. When you open the prototype, Wix and its hosting providers process technical data needed to deliver and protect the service, such as your IP address and web requests. Hosting logs may also be processed under the provider's policies. We rely on our legitimate interests in providing and securing the prototype for the hosting we arrange. See Wix's Privacy Policy.

We will update this notice before adding game accounts, cloud saves, charity-run gameplay analytics or other new uses of personal information, and obtain consent where required. Signing up for project emails is a separate choice on our Wix website.

Who can receive information

Relevant trustees and authorised people working for the charity can access information needed for their role. We use Wix for this website, forms and the separate Thinky prototype, and Donorbox and its checkout providers for donations. Professional advisers, banks, HMRC, regulators or public authorities may receive information where needed for their services or a legal requirement. We do not sell your personal information.

Providers may process information outside the UK. Where a restricted international transfer occurs, applicable safeguards must be used, such as an adequacy decision, approved contractual protections or another permitted legal mechanism. Wix and Donorbox describe their international processing in their privacy information. Contact us for information about safeguards relevant to your data.

How long we keep information

We keep enquiry and collaboration records while handling the matter and for as long as there is a continuing relationship or a reasonable need to retain a record of decisions, commitments or disputes. We keep donation, accounting and Gift Aid records for the applicable statutory record-keeping period. Public project material is reviewed in light of its continuing educational purpose, permissions and any privacy request.

Retention depends on the purpose, the type of information and legal requirements. Information should be deleted or anonymised when it is no longer needed; a valid legal or accounting requirement may prevent immediate deletion. Contact us if you need the retention criteria for a particular record.

Your choices and rights

You can request access to your personal information, correction of inaccurate information, erasure, restriction of use and, where applicable, a portable copy. These rights depend on the circumstances and are not absolute. If processing depends on consent, you can withdraw it without affecting processing that was lawful before withdrawal.

Right to object: you can object to processing based on legitimate interests for reasons relating to your situation. You can object to direct marketing at any time.

Contact us using the details above. We may ask for enough information to verify your identity and find the relevant records. We normally respond within one month, subject to the legal rules on extensions and clarification, and explain any refusal or limitation.

If you are unhappy with our response, you can complain to the UK's Information Commissioner's Office at ico.org.uk/make-a-complaint. You can also contact the ICO directly about your data-protection rights.

Children and changes to this notice

Our educational material can be used by young people with suitable guidance. We do not ask children to create an account to read this website. Parents, carers or teachers should contact us about a child's participation or personal information, and children should avoid sending unnecessary personal details through the general contact form.

We will revise this notice when our services or data practices change and update the date at the top. Where a change requires further information or consent, we will provide it separately.
